Templates
Create a reusable template
Build a repeatable template with predefined roles and signing fields.

Templates are the fastest way to standardize repeated document workflows. They capture your packet structure, role model, and field layout once, then let senders reuse that work through Use Template. A good template reduces preparation time and improves consistency without removing flexibility for special cases.
This guide explains how to build templates your team can trust. You will map role labels, configure fields for predictable completion, and use Save Template as a quality checkpoint. For one-off sends, continue using Create and send envelope.
Choose the right workflow to templatize
Not every process should become a template. Start with workflows that repeat at least weekly and use mostly the same document set. If signer order and field locations change constantly, forcing a template can create more edits than savings. Focus on stable, high-volume packets first.
A practical candidate test:
- Document set is stable in 80 percent or more of sends.
- Signer roles are predictable across transactions.
- Field placement rarely changes after legal review.
- Team members repeatedly ask for prior envelopes to copy.
Step 1: Start template creation from your workspace
Open the Templates area and start a new template flow. The structure mirrors Create Envelope, so your team will recognize Details, Documents, Roles, Fields, and Review behavior. Give the template a precise name that explains use case and audience. Think of this as a product artifact your teammates will rely on repeatedly.
Step 2: Configure packet in Documents
Upload all files that belong to the recurring packet. Verify page order and document titles. If your process sometimes adds optional forms, keep the base template focused and let senders handle optional additions in Customize Before Sending. Overloading the base template with rare attachments creates unnecessary friction for routine sends.
Keep source files version controlled internally so updates can be applied deliberately. Untracked edits to PDF content are a common cause of field misalignment later.
Documents
Upload files and set the order signers will review them.
Step 3: Design role model in Roles
Role labels are the backbone of reusable templates. Use meaningful labels tied to responsibility, not individual names. Good labels survive personnel changes and keep Quick Send straightforward. Keep role count minimal while still covering all required signers and reviewers.
Validate role ordering now if your process is sequential. This order carries into sends and determines who receives notifications first. For a deeper routing strategy, review Sequential signing order.
Signing roles
Define who needs to sign and in what order.
Step 4: Build reliable field coverage in Fields
In Fields, place every required signer action with role assignment set correctly. Use clear spacing and alignment so recipient experience remains intuitive. For each role, confirm at least one required action where your process expects an explicit contribution.
Teams often fail here by over-customizing with optional fields that add noise. Start with minimum viable required structure. Add optional fields only when they support a known operational need.
If placement behavior is inconsistent, use /help-center/configure-signing-fields as a quick troubleshooting reference.
Step 5: Validate in Review and use Save Template
Treat Review as your template quality gate. Confirm documents, role sequence, and field coverage. Once validated, use Save Template. This action should represent a trusted baseline, not a draft-like state. If major questions remain, pause and iterate before broad rollout.
After saving, run one internal send using Use Template. Test both Quick Send and Customize Before Sending to ensure expected behavior in real operations.

Operational rules for template governance
Assign one template owner for each high-value workflow. Owners approve updates, maintain naming consistency, and communicate changes to senders. Without governance, templates proliferate and users choose outdated versions under deadline pressure.
Use a simple release note pattern when updating templates:
- What changed and why.
- Who approved the change.
- When senders should switch to the new version.
- What fallback exists for in-flight envelopes.
How senders should choose Quick Send or Customize
Templates are most valuable when the sending path is clear. Use Quick Send when packet and fields remain unchanged and only signer identities vary. Use Customize Before Sending when transaction specifics require edits in Details, Documents, Roles, or Fields. This decision rule keeps speed high without compromising control.

Common template issues and prevention
- Too many similar templates with unclear differences.
- Role labels tied to individuals instead of job functions.
- Field updates made without retesting full send path.
- Template names missing context, causing wrong template selection.
- No owner assigned for lifecycle and quality decisions.
Prevent these issues with governance, monthly review, and standard naming. If users struggle to select the right template, simplify catalog design before adding new variants.

FAQ
Frequently asked questions
Short answers to the questions teams ask most often about this topic.
When is a workflow ready to become a template?
Create a template when document structure, signer roles, and field placement are stable across repeated sends for the same process.
Can templates still be edited before sending?
Yes. Start with Use Template, then select Customize Before Sending if you need full wizard edits on a particular send.
How should role names be written in templates?
Use task-based labels such as Buyer Signer or HR Approver. Consistent role labels reduce field assignment errors and simplify Quick Send.
Where can I troubleshoot template setup issues?
Use /help-center/create-a-template for step troubleshooting and /help-center/configure-signing-fields for field placement fixes.
