Templates
Create a reusable template
Save a PDF with roles and field placements so your team can reuse the same layout.
7 min read
A template stores a PDF, role names, and field placements so you stop rebuilding the same lease or offer packet every Monday. Creating a template uses the same five-step flow as an envelope, but saving does not notify anyone.
Template vs envelope
Envelopes go to real signers now. Templates are blueprints. You upload the PDF once, place fields once, then reuse the layout with Quick Send or Customize. Recipient email is optional on roles while you prepare the template.
Start New Template
Open Templates in the sidebar and click New Template. The wizard title reads Prepare template. Steps mirror Create Envelope: Details, Documents, Roles, Fields, Review.
Details and Documents
Name the template and add an internal description. Upload the PDF you want to reuse. Set document titles so signers see clear names when they open files later.
Roles without live recipients
Define role names such as Tenant, Landlord, or Employee. You are mapping where fields belong, not sending yet. Add another role for each sequential signer the document requires.
Fields
Place fields per role on the PDF. Templates support prefill values where the app allows. See Place and configure signing fields for field types and placement rules.
Review and save
Review confirms documents, roles, and fields. Save the template. It appears in the Templates list with actions to edit, use, or view detail.
Edit an existing template
Open a template and choose Edit Template. The update wizard has two steps: Prepare template (metadata and documents) and Configure Fields. Replace documents through the replace dialog if the PDF version changed.

No. Templates store layout only. You send later with Use Template and Quick Send or Customize Before Sending.
Do I need recipient emails when I build a template?
No. Roles need names for field assignment. Recipient email is optional during template creation and required when you send.
Can I edit a template after I save it?

Are shared templates available?
Shared templates and template drafts are marked Coming Soon in the app. This guide covers workspace templates you create today.
