Place and configure signing fields on a PDF
Select a document and role, drag field types onto the PDF, and set required or optional rules.
6 min read
The Fields step is where a PDF becomes a signing workflow. You choose a document, pick a role, drag field types onto the page, and set rules like required and prefill. The same editor appears in Create Envelope and when you update a template.
Select document and role first
Open the Fields step in Create Envelope or Edit Template. Choose the PDF tab if the envelope has multiple files. Select the signing role from the dropdown before you place anything. Fields you add attach to that role until you switch roles.
Drag field types onto the PDF
The field palette lists types such as Signature Image, Initials, Text, Checkbox, Date, and Attachment. Drag a type onto the page and resize the box to match the line or block where the signer should act.
Required vs optional
Open field settings to mark a field required or optional. Required fields must be completed before the signer finishes the document. Optional fields suit cover sheets or acknowledgments that not every signer needs.
Prefill on templates
When you prepare a template, some text fields accept prefill values that appear for every send. Leave signer-specific values empty so Quick Send can collect them at send time.
Solid background
Enable solid background when an underlying PDF line or label would show through a signature or text field. The field renders opaque so the finished document looks clean.
Multi-document envelopes
Switch tabs for each PDF in the packet. A lease and disclosure in one envelope still get separate field maps. Signers move through documents from their signing link in the order you configured.
Replace documents while editing
If you edit a template or draft envelope and the PDF changed, use the replace documents dialog from the Prepare step. Re-check field positions after a replacement; coordinates may shift with page size changes.
FAQ
Frequently asked questions
Short answers to the questions teams ask most often about this topic.
Why must I select a role before placing a field?
Each field belongs to one signing role. Selecting the role first ensures the correct signer can complete that field when the envelope is sent.
Can I make a field optional?
Yes. Toggle required off in field settings when the signer may skip it. Required fields block completion until filled.
What does solid background do?
Solid background covers existing PDF text under the field. Use it when a preprinted line would show through a signature or text box.
How do multi-document envelopes work in Fields?
Switch PDF tabs at the top of the Fields step. Place fields per document. Field order follows the document and role you assign.
